AI That Actually Helps (Not Just Impresses)

There's a lot of noise about AI. Every week there's a new tool claiming to revolutionise your business. Most of it is hype.

But buried in the noise, there are genuine time-savers that any small business can use right now. Here are five, with the honest limits of each.

    1. Email Drafting and Responses

The problem: You spend 45 minutes every morning writing and replying to emails. Most are similar - client updates, quotes, follow-ups, scheduling.

The AI solution: Use ChatGPT or Claude to draft responses.

    • Copy the email you received
    • Paste it into ChatGPT with "Draft a professional response to this email. Keep it friendly and concise."
    • Review, edit if needed, send

Do the sum: time yourself on one morning of email. Drafting from a prompt turns composing into editing, so what you get back depends on how much of your inbox is repeat correspondence rather than one-offs.

Tools: ChatGPT ($20/month), Claude ($20/month), or Gmail's built-in AI (free with Google Workspace)

What this looks like: During tax season the same six emails go out forty times each. Drafting them from a prompt instead of from scratch turns writing into editing - and editing is much faster than composing.

    2. Content Creation for Social Media and Blogs

The problem: You know you should be posting on social media and writing blog content, but who has time?

The AI solution: Use AI to generate first drafts that you refine with your expertise.

    • Tell ChatGPT: "Write a 150-word Instagram caption for a Canberra electrician sharing a tip about winter heating safety. Casual, helpful tone."
    • You'll get a solid first draft in seconds
    • Add your personal touch, a relevant photo, and post

Do the sum: how long does one post take you from blank page to published? Only the drafting stage shortens - the editing, the photos, and the local knowledge are still yours to add.

Important caveat: Don't publish AI-generated content unchanged. Add your expertise, local knowledge, and personality. Google and your audience can tell when something is generic.

What this looks like: Use the AI for the blank-page problem only - brainstorm a week of post ideas, then rewrite them in your own voice and add your own photos. The draft is scaffolding, not the finished post.

    3. Customer FAQ Automation

The problem: You answer the same 10-15 questions every day. Hours of your time on things like "What are your hours?", "Do you offer payment plans?", "How long does it take?"

The AI solution: Set up a simple AI chatbot on your website.

    • List your 20 most common questions and their answers
    • Feed them to an AI chatbot tool
    • The chatbot handles these questions 24/7
    • Complex questions get forwarded to you

Do the sum: count how many times a day you answer one of your top 10 questions, and add the cost of the interruption each time. That's the number a chatbot is aimed at.

Tools: Tidio (free tier), Intercom, or a custom-built chatbot

What this looks like: The questions that currently interrupt reception - services, pricing, availability - get answered on the website instead. The calls that do come through are the ones that actually need a person.

    4. Meeting Notes and Summaries

The problem: You have back-to-back meetings but never have time to write up notes, action items, or follow-up emails.

The AI solution: Use an AI meeting assistant to record, transcribe, and summarise meetings.

    • Start the AI assistant before your meeting
    • It records and transcribes the conversation
    • After the meeting, you get a summary with key points and action items
    • You can even ask it to draft follow-up emails

Do the sum: how long does writing up one meeting take you? Multiply that by meetings per week. Note that you still have to read the summary - it replaces the writing, not the thinking.

Tools: Otter.ai ($16/month), Fireflies.ai ($19/month), Google Gemini (built into Google Meet)

What this looks like: The transcript summary doubles as client-facing meeting minutes. Send it the same afternoon while the conversation is still fresh, rather than writing it up from memory three days later.

    5. Data Analysis and Reporting

The problem: You have data in spreadsheets but don't know how to analyse it. Monthly reporting takes forever.

The AI solution: Use AI to analyse data and create reports.

    • Upload your spreadsheet to ChatGPT (Plus subscription)
    • Ask: "Analyse this sales data. Show monthly trends, top products, and any patterns."
    • Get insights you might have missed
    • Ask it to format the findings into a report

Do the sum: time your last monthly report end to end. The analysis and formatting are the parts this shortens; checking the numbers against the source data still takes exactly as long as it always did.

Tools: ChatGPT Plus ($20/month with file upload), Google Sheets with Gemini, Microsoft Copilot

What this looks like: Upload the monthly sales export and ask it what's trending, what's seasonal, and what's underperforming. Treat the answers as leads to check, not conclusions - always sanity-check the numbers against the source data.

    Getting Started: The Practical Path

Week 1: Pick One Thing Don't try to automate everything at once. Pick the task that eats the most time and start there.

Week 2: Learn the Tool Spend 30 minutes per day for a week getting comfortable. The learning curve is real but short.

Week 3: Build the Habit Set a reminder to use the tool. It takes a few weeks before it becomes second nature.

Week 4: Measure the Impact Track how much time you're saving. This tells you whether to invest more or try a different approach.

    What AI Can't Replace

A few things worth being clear on:

    • Relationship building - AI can draft the email, but the personal connection is yours
    • Strategic decisions - AI can inform decisions with data, but judgement is human
    • Creative vision - AI generates options, but your taste and brand voice matter
    • Local knowledge - AI doesn't know that the Braddon café scene is different from Tuggeranong
    • Accountability - when something goes wrong, a human needs to own it

AI is a tool, not a replacement. The businesses getting the most value treat it as a very fast, very capable assistant - not a substitute for expertise.
